A Special Meeting of the Evergreen Valley Timeshare Owners’ Association will be held via Zoom only on:

  2. Capital Expenditure Approval – Vote on $57,000 for Villa roof repairs (Bylaw 5.17).
     

A quorum of at least 5% of owners (in person or by proxy) is required. Decisions will be made by a majority vote of those present and voting.

If you cannot attend, you may submit a proxy form by July 9, 2025. Attendees may revoke previously submitted proxies and vote live during the meeting.

NOTICE IS HEREBY GIVEN, in accordance with Article 2, Section 2.2(a) of the Bylawsand 33 M.R.S. §1603-108, that the Annual Meeting of the Evergreen Valley Timeshare Owners Association ("Association") will be held on June 7, 2025, at 11:00 AM EST at the Evergreen Valley Inn, 82 Mountain Road, Stoneham, Maine 04231. The purposes of this meeting are to elect the members of the Board of Directors, to present the financial report of the receipts and Common Expenses for the Association's preceding fiscal year, to ratify the budget for the current fiscal year as adopted by the Board of Directors, and to conduct such other business as may be required or permitted pursuant to Article 2, Section 2.2(a)(2) of the Bylaws.

A quorum of at least five percent (5%) of the total ownership, present in person or by proxy, is required under Bylaws Article 2, Section 2.2(d). Matters presented at the meeting will be decided by the affirmative vote of more than fifty percent (50%) of the aggregate votes entitled to be cast by the Members present and voting in person or by proxy, unless a greater percentage is required by the Maine Condominium Act, the Declarations, or the Bylaws, as specified in Bylaws Article 2, Section 2.2(e).

If you cannot attend in person, you may appoint a proxy in writing as permitted by Bylaws Article 2, Section 2.2(f) and 13-B M.R.S. §606. Please complete and return the enclosed Proxy form by June 6, 2025. Any owner who attends may revoke a previously submitted proxy and vote in person.

Update 05/06/2025

As you all know we have partnered with Lemonjuice Solutions and we are hoping to have positive results for Evergreen moving forward.  


This will be a short newsletter just to inform our owners that we are holding an Annual Meeting on June 7th at 11:00. Once again, we are asking our owners to please attend. This is to support EVTOA but also to keep you informed and updated regarding the progress at the Inn.  


We are also having our annual Spring clean up and work weekend, the same time.  We are shocked at the number of people who this year are volunteering to attend and help EVTOA. Thank you for showing interest in our Inn that we all love so much. Please call the Inn in one week and we can tell you what tools or jobs need to be done. 


The Inn will supply some of the food but we are asking volunteers to bring some food and we will have a potluck supper on Saturday night. You can come to the Inn on Friday and Saturday and Saturday night will be free for those who are attending. This is a great time to meet other owners and help with the spring clean-up.


We have hired back Scott Henry, who previously worked for us, and we are thrilled he decided to join our team again. Scott has extensive knowledge of maintenance and knows our old building well, so he is a real asset. 


Monica is still with us and Mackenzie is new and they work very well together and we are getting a lot accomplished in housekeeping and front desk during the slow time. 


  

We hope to see you once again at the Annual Meeting and we hope this newsletter finds you in good health.
